On the horizon for ROSE

ROSE UPDATE
 
Ten months after entering the implementation phase, the ROSE program is experiencing a flurry of activity, including multiple go-lives since the start of the school year. The program now counts 26 initiatives within its eight streams, some of which are just weeks or months away from completion. Recent go-lives include the online bursary tool (August 24) in student services and the employee self-service tool (October 5) in human resources, and there is plenty more happening over the next few months.

IT — ITPC (IT Purchasing Centre): The goal here is to maximize efficiencies related to acquiring new PCs as the institutional price negotiated with the vendor is extremely competitive. The ITPC will create a higher degree of commonality in the computing equipment purchased by the university, which will make it easier for technicians to provide support to PC computer users. A preferred supplier has been selected for PCs and servers pending final negotiations and approval by the Board of Governors. Currently, ITPC governance committees are being established, while the first order for PCs under the new contract is expected to occur in early November.

IT — Email/Calendar: The project team worked with Dell Consulting to design the implementation of the Microsoft Exchange email and calendar system. All equipment has arrived and the system infrastructure will be ready for November. User migrations from the current systems to the Microsoft Exchange platform should be complete by spring 2012.

Finance — Integrated travel: Concur Technologies Inc. has been selected as the vendor for the online booking tool (OBT) and the automated expense management tool (EMT). Both tools will be linked with new U.S. Bank VISA corporate credit card. Last month, more than 400 people attended brown bag presentations on the initiative, which is on track to go live October 31.

Human Resources — eRecruitment: The eRecruitment system (REACH-UM) is readying to go live in early November. Pilot groups have completed training, while training for the initial 100 users was underway in mid-October. Training materials were produced, including eLearning videos for hiring managers.

Physical Plant — Work order improvements: The single point of contact (SPOC) for each department have been entered into an SPOC database and new charging policy and procedures have been established. The self-serve work order requester went live in July and service guidelines performance monitoring reports have also been completed. The project is on track for December 2011 completion.

Research Services — Compliance systems implementation (Pilot workflow software): The requirements gathering for Animal Ethics has been completed and historic data entry is scheduled for completion by end of October. An initial target of 60 per cent was established for adoption of electronic review across all committees, with an eventual goal of 80 per cent. Configuration analysis of InfoEd is ongoing, while training is being finalized for the Fort Garry Human Ethics Office, which will take over entering new protocol submissions into InfoEd.

Students — Future students website/student recruitment: The design and build of the content for approximately 100 new program pages is almost complete, with a go-live planned for the end of October.

The latter half of 2011 is proving to be a time of tremendous change and growth within the ROSE project team. As Pricewaterhouse Coopers (PwC) transitions off of the project, new capabilities are being brought in-house with the recent hiring of three new project managers, a project support analyst and a full-time IST liaison.

Les Howard, ROSE program manage, is working to review program level budgets and benefits, with a focus on financial enhancement and operational service enhancement. Currently, all project budgets are on track, with the overall ROSE program on track to meet projected annual cost savings of $8 million to $15 million.
